Cancellation Policy

Free Cancellation: Reservations may be canceled without any cancellation fees up to 45 days prior to the check-in date.

Late Cancellation: In any case of cancellation made within 45 days of the arrival date, or in the event of a No-Show, the person making the reservation will be charged full cancellation fees amounting to 100% of the total reservation cost.
Force Majeure
In the event of Force Majeure, as defined in this agreement, which results in the inability to hold the event and/or provide accommodation at the hotel, the hotel shall refund all deposits paid by the client up to that date. In this specific circumstance only, the hotel undertakes not to demand the fulfillment of the accommodation and/or event at a later date.
For this agreement, "Force Majeure" shall be defined as:

War and/or security incidents involving the State of Israel, and/or natural disasters, which cause significant and direct impact on the area where the Galilion Hotel is located, and which, according to the directives of state authorities, make it impossible to hold the accommodation and/or event on the scheduled date.

Explicit directives from the Ministry of Defense prohibiting travel to the area where the Galilion Hotel is located.

Governmental orders from a competent authority instructing the cancellation of the accommodation and/or event subject to this agreement.
Privacy Policy
1. General
As the organizers of the Roots of Hope conference (hereinafter: " Conference Management"), we respect your privacy. This document outlines how we collect, use, and protect the personal information provided to us as part of the registration and participation in the conference.
2. Information We Collect
Upon registration, you may be asked to provide personal details such as:

Full name, email address, home address and phone number.

Job title and organization/company name.

Payment details (processed by an external secure clearing provider and not stored on our systems).

Dietary preferences or accessibility requirements.
In addition to basic contact details, for accommodation and logistics purposes, we will collect:

Passport details: For flight bookings, entry visas, and hotel registration abroad.

Medical and accessibility information: Information regarding mobility limitations, food allergies, or relevant medical conditions requiring special arrangements during the hotel stay or off-site tours.

Flight and accommodation details: Flight numbers, room type preferences (single/double), and names of roommates.
3. Use of Information
The information collected will be used for the following purposes:

Managing registration, issuing name tags, and sending logistical updates regarding the conference.

Sending professional materials, lecture summaries, and feedback questionnaires after the event.

Marketing communications regarding future conferences (subject to your consent and with an option to opt-out at any time).

Tailoring conference services (such as catering and accessibility).
4. Use of the Dedicated Conference App (if applicable)
The use of the conference app involves data collection and processing as follows:

Participant Profile: Information you enter (name, title, photo) will be visible to other participants for networking purposes, unless you set your profile to "Private."

Device Permissions: The app may request access to Location (for navigation within the venue or during tours), Camera (for scanning exhibitor codes), and Push Notifications (for real-time updates on schedule changes).

Chat and Messages: Content sent within the app's chat is stored in the system for operational purposes only.
5. Photography and Documentation During the Conference
Please be advised that still photography, video recording, and potentially live streaming will take place during the conference.

The Conference Management is entitled to use these recordings for marketing, social media, the conference website, and public relations.

By participating in the conference, you grant your consent to be included in these recordings, unless you have notified the organizers otherwise in writing prior to the event.

Lectures and panels may be recorded and distributed to participants or on the conference website as part of the professional content.

Photos from cultural events and tours will be used for event summaries and future publications on social media and other platforms.
6. Disclosure to Third Parties
The Conference Management will not sell or rent your personal information. We will share information only in the following cases:

For conference operations (e.g., participant lists for catering or entry registration systems).

In the case of a commercially sponsored conference: Contact details will only be shared with Sponsors if you have provided explicit consent on the registration form.

Legal requirements as dictated by law.
For the execution of the conference, relevant information will be shared with the following providers:

Hotels and Airlines: Identification and passport details to secure stay and travel.

Production and Tour Companies: Participant lists for entry to tourist sites, off-site tours, and cultural events.

Catering Providers: Information on allergies and dietary preferences (anonymized where possible).
7. Safety and Emergency Abroad
Throughout the 5-day conference, your contact details (including a mobile phone available abroad) will be used for rapid communication in case of an emergency, urgent itinerary changes, or safety instructions from local authorities.
8. Data Security
We take standard precautions to protect your personal information from unauthorized access or alteration. However, there is no absolute security on the internet, and the use of the registration site is at the user's own risk.
9. Right to Access and Deletion
Under the Protection of Privacy Law, you are entitled to review the information held about you, request its correction, or request its deletion from our databases. This can be done by contacting: Support@ongroup.co.il
Sensitive information (such as passport copies) will be deleted from the Conference Management systems within 45 days of the conference's conclusion, except for information that must be retained by law or for financial accounting purposes.
